Privacy Policy

At Kontiv Solutions, we are committed to protecting your privacy and handling your personal data responsibly. This Privacy Policy explains how we collect, use, store, and protect information when you use KedyVet. We comply with the Personal Data Protection Act 2010 (Malaysia) ("PDPA") and acknowledge our obligations to users in jurisdictions with equivalent data protection laws, including the General Data Protection Regulation ("GDPR") for users in the European Economic Area, the Personal Data Protection Law (UU PDP) for users in Indonesia, the Protection of Personal Information Act (POPIA) for users in South Africa, and the Personal Information Protection and Electronic Documents Act (PIPEDA) for users in Canada.

1. Information We Collect

From Clients (businesses using KedyVet):

  • Business name, email address, phone number, and address;
  • Contact person details and login credentials;
  • Subscription and billing information;
  • Usage data including feature interactions and platform activity.

From Pet Owners (individuals using KedyVet Passport):

  • Name, email address, and phone number;
  • Pet information including name, species, breed, date of birth, photo, and health records;
  • Vaccination records, vet visit history, grooming records, and boarding history;
  • Emergency contact information provided voluntarily;
  • IP address and device information for security purposes.

Automatically collected:

  • IP addresses, browser type, and access timestamps;
  • Cookies and session data for platform functionality.

Regarding pet health records: Pet health information entered into KedyVet is treated with the same care as personal data. Records may be entered by pet owners themselves or by registered KedyVet service providers (clinics, veterinarians, grooming studios, boarding facilities). All record entries are logged with a timestamped audit trail identifying the source. Provider-entered records are marked accordingly on the platform.

2. How We Use Your Information

  • To provide, operate, and improve the KedyVet platform;
  • To facilitate bookings, pet health record management, and provider communications;
  • To send confirmations, reminders, and platform notifications;
  • To process subscription payments and manage billing;
  • To respond to support requests and communications;
  • To detect and prevent fraud or unauthorised access;
  • To comply with legal obligations under applicable law;
  • To generate anonymised, aggregated analytics for platform improvement.

We do not sell your personal data to third parties. We do not use your data for advertising purposes.

3. Sharing Your Information

We may share your information with:

  • Service Providers: Third-party services that support our operations, including email delivery (Resend), cloud infrastructure (Supabase, Inc. — United States), and payment processors (Stripe). These parties are bound by confidentiality obligations and may only process data as instructed by us.
  • KedyVet Service Providers (Clinics): Pet health record information is shared with registered KedyVet providers only where the pet owner has explicitly consented or initiated a service relationship with that provider.
  • Legal Authorities: Where required by law, court order, or to protect the rights, safety, or property of Kontiv Solutions or others.

We do not share personal data with any party for their own marketing purposes.

4. Pet Health Records — Important Notice

KedyVet is a private digital record-keeping platform. Pet health records stored on KedyVet are for personal reference and operational use only. They do not constitute official veterinary certificates, government-issued animal registration documents, or statutory compliance documentation of any kind.

Vaccination records and health logs on KedyVet may be self-reported by pet owners or entered by registered KedyVet service providers. Self-reported records are not independently verified by KedyVet. Records entered by registered providers are marked accordingly on the platform.

Pet owners remain solely responsible for compliance with all applicable animal regulations, licensing requirements, and veterinary laws in their jurisdiction.

5. Data Retention

  • Client account data is retained for the duration of the subscription and deleted within 60 days of termination upon written request.
  • Pet owner accounts and associated health records are retained while the account is active.
  • Upon account deletion request, data will be deleted within 60 days except where retention is required by law.
  • Anonymised analytics data may be retained indefinitely.
  • Data required for legal compliance may be retained for the period required by applicable law.

6. Data Security

We implement appropriate technical and organisational measures to protect your personal data from unauthorised access, use, alteration, and disclosure. These include encryption in transit (HTTPS), access controls, role-based permissions, and secure cloud infrastructure.

All changes to pet health records are logged with a timestamped audit trail. In the event of a data breach that affects your personal data, we will notify affected parties within 72 hours of becoming aware of the breach, in accordance with our obligations under applicable regulations.

No method of transmission over the internet is completely secure. While we take all reasonable steps to protect your data, we cannot guarantee absolute security.

7. Your Rights

Under applicable data protection laws, you have the right to:

  • Access and request a copy of your personal data held by us;
  • Request correction of inaccurate or incomplete information;
  • Request deletion of your personal data, subject to legal retention requirements;
  • Withdraw consent for processing, where processing is based on consent;
  • Object to processing for direct marketing purposes;
  • Request data portability (for users in applicable jurisdictions).

8. Cookies

KedyVet uses cookies and similar technologies to maintain session state and platform functionality. We do not use cookies for advertising or third-party tracking purposes. By using the Platform, you consent to our use of essential cookies.

9. International Data Transfers

KedyVet is operated by Kontiv Solutions, registered in Malaysia. Your data is stored on servers operated by Supabase, Inc. (United States). By using the Platform, you consent to your data being transferred to and processed in the United States and Malaysia. We take appropriate steps to ensure your data receives adequate protection regardless of where it is processed.

For users in the European Economic Area: We process personal data on the following lawful bases: performance of a contract, compliance with legal obligations, and legitimate interests.

For users in South Korea: KedyVet processes personal information in accordance with South Korea's Personal Information Protection Act (PIPA). Personal data is stored on servers in the United States (Supabase, Inc.). Korean users have the right to access, correct, and request deletion of their personal information by contacting hello@kedyvet.com.

For users in Vietnam: KedyVet processes personal information in accordance with Vietnam's Personal Data Protection Law (PDPL, Law No. 91/2025/QH15, effective January 2026). Personal data is stored on servers in the United States (Supabase, Inc.). Vietnamese users have the right to access, correct, withdraw consent, and request deletion of their personal information by contacting hello@kedyvet.com.

For users in South Africa: KedyVet processes personal information in accordance with the Protection of Personal Information Act (POPIA, Act 4 of 2013). Personal data is stored on servers located in the United States (Supabase, Inc.). South African users have the right to access, correct, and request deletion of their personal information by contacting us at hello@kedyvet.com.

For users in Canada: KedyVet processes personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA). Personal data is stored on servers located in the United States (Supabase, Inc.). Canadian users have the right to access, correct, withdraw consent, and request deletion of their personal information by contacting us at hello@kedyvet.com.

For users in Indonesia: We acknowledge our obligations under the Personal Data Protection Law (Undang-Undang Pelindungan Data Pribadi / UU PDP, Law No. 27 of 2022). Indonesian users have the right to access, correct, and request deletion of their personal data. To exercise these rights, please contact us at hello@kedyvet.com. Indonesian Clients are independently responsible for their own compliance with UU PDP in relation to their end customers' data processed through KedyVet.

For all international users: KedyVet is a private software platform and does not represent or act on behalf of any government authority in any jurisdiction. Pet owners remain solely responsible for compliance with local animal registration, licensing, and veterinary regulations in their respective countries.

10. Children's Privacy

KedyVet is not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe we have inadvertently collected data from a minor, please contact us immediately at hello@kedyvet.com.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised effective date. Continued use of the Platform after changes are posted constitutes your acceptance of the updated policy. For material changes, we will notify Clients via email.
